Description

Reporting to the Vice President/General Manager of a high-growth business unit within a $1.5B+ global manufacturing organization, the Executive Assistant will provide administrative, communications, and operational support (both onsite and virtually) to business unit VP/GM, as well as the Sr. Director of Operations/Plant Director.

Responsibilities

  • Act as the first point of contact between VP/GM, Sr. Director of Operations, local Leadership Team, and internal or external colleagues
  • Provide calendar management for VP/GM and Sr. Director of Operations: prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements
  • Make travel arrangements and detailed travel itineraries, complete expense and mileage reports
  • Work cross-functionally with VP/GM, local Sr. Director of Operations/Plant Director, and HR to create communications materials
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Lead event planning and project coordination
  • Provide hospitality to all guests and help to create a welcoming environment
  • Support facility main phone line and respond to inquiries
  • Maintain lines of communication and build strong relationships with internal and external stakeholders

  • Excellent spoken and formal writing skills
  • Ability to multitask and prioritize tasks
  • Excellent time management skills
  • Attention to detail
  • Able to maintain a high level of integrity and discretion in handling confidential information
  • Ability to complete a high volume of tasks and projects with little or no guidance
  • Able to prioritize conflicting needs
  • Strong communication skills to interact with many stakeholders/all levels of organization
  • Highly motivated, resilient and persistent in reaching objectives
  • Open mindset, positive outlook, willingness to learn and develop
  • Advanced Microsoft Office skills (including PowerPoint, Excel, and Word)
  • Proficiency with SharePoint, Teams and Planner is a plus
